San Diego Humane Society is hiring a Volunteer Recruitment and Data Assistant for our Oceanside Campus! This position is dependent upon funding and has an anticipated hire date of June 2018. SUMMARY:Supports volunteers and volunteer engagement team with program administration. The Volunteer Recruitment and Data Assistant works at the Oceanside Campus but supports volunteer engagement at all locations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:include the following:

New Volunteer Recruitment and Onboarding

  • Screens volunteer applications for all programs and locations; sends applications who don’t meet requirements to Volunteer Engagement Manager for review

  • Communicates with applicants and keeps them up to date on progress

  • Sets up Info Session sign ups on website

  • Sends application links to Info Session attendees

  • Coordinates flow of applicants through database system

  • Updates volunteer records as steps are completed

  • Sends invitations to interviews and placement emails

  • Schedules new volunteers for training

  • Responds to all general interest inquiries by email and phone

  • Uploads photos of new volunteers

  • Creates name badges for new volunteers

  • Submits background checks and communicates results

  • Tracks new volunteers through the system; follows up with volunteers who have not completed training steps

  • Assists current volunteers with adding or transferring between opportunities; screens step up applications

  • Creates Step Up priority lists

  • Oversees staff request to volunteer approvals; creates records for staff volunteers

Volunteer Data

  • Maintains landing page of each database account; monitors for timeliness of content; communications with staff partners who need to refresh their pages

  • Creates database templates including emails, schedules, activities

  • Enters hours for programs not utilizing time clocks

  • Creates monthly hours reports

  • Reviews records with no activity monthly

  • Communication with staff partners to rectify records with no activity

  • Reviews duplicate records monthly and applicants who are not responding

  • Follow up with volunteers who opt out of all emails

  • Assists Staff Partners with database usage

  • Trains new staff partners on database system

  • Tracks awards and training data

  • Creates activities in database; including schedules, recruitment descriptions, and qualification settings

  • Enters data including creating volunteer database records and recording hours monthly

  • Cleans up database weekly

Volunteer Support

  • Greets volunteers and assists them with timeclock and supplies as needed

  • Assists with volunteer recognition efforts such as volunteer week, events and ribbon recognition program

  • Responds to volunteers who need database usage support

  • May assist with volunteer supervision in the absence of the Volunteer Training Specialist or Volunteer Engagement Manager

  • Enters volunteer notes on animals (medical and behavior observations) into Shelter Buddy

  • Assists with creation of training materials and room set up for trainings and events

Miscellaneous

  • Supports overall San Diego Humane Society and Volunteer Engagement strategic plan efforts

  • Travels to other Campus locations as needed

  • Assists Volunteer Engagement team at off-site special events

  • Regularly and predictably attend work in-person as scheduled.

SUPERVISORY RESPONSIBILITIES:None

SALARY:This position starts at a rate of $14.56 per hour and salary will be commensurate with experience.

QUALIFICATIONS

EDUCATION, SKILL, EXPERIENCE:One year experience working in a customer service position required. Friendly demeanor and comfort with multiple interruptions a must. Computer skills a must and the candidate should possess excellent organizational skills.

PHYSICAL DEMANDS:Will sit, stand, walk, talk, hear, stoop, bend, stretch, squat, kneel, grasp, grip, put fingers together firmly and reach above and below shoulder level, lift and/or carry up to 50 pounds and push and pull up to 100 pounds for situations of restraining, manipulating or moving animals or supplies; repetitively use hands to operate computers; flex the neck upward and downward; twist the neck and the waist. WORK ENVIRONMENT:A blend of standard office environment and animal housing. Involves working directly with animals, staff, volunteers and the public. There is the potential for exposure to parasites or infectious diseases that can be carried or transmitted by animals.
