Job Description

As our Sr. Administrative Assistant, you would provide cross-functional administrative support to the Leaders of our Global Marketing and Strategy & Corporate Development teams. You'll proactively manage three executives' calendars, including proactively prompting, reminding, and updating on scheduling and workflow matters. Exerts a competent, tactfully assertive presence on behalf of the management team.

Top 3 Responsibilities:

  • Responsible for maintaining calendars in Outlook for executive's activities, meetings, and business travel. Also provides reminders for appointments and conference calls and project deadlines. Coordinates meetings and team functions (including meeting room set up, technical support, material preparation, catering, preparing agendas, compiling materials transcription and distribution of action items, making all necessary arrangements with vendors and internal service providers).

  • Manages executive travel arrangements, including flights, ground transportation, and hotel reservations, and remote meeting logistics.

  • Provide other administrative assistance as needed, including, but not limited to, drafting and disseminating documents, spreadsheets, presentations, and other materials as needed to support departmental meetings, special event planning, custom reporting requests, and assistance with on-boarding new hires.

Additional Responsibilities:

  • Assist with preparation of expense reports, including auditing for accuracy, coding and entering into Concur.

  • Schedule conference calls and WebEx virtual presentation meetings.

  • Work with various internal departments to fulfill business requests.

  • Organize and maintain filing systems

  • Assist with setting up of new vendors, including obtaining NDAs.

  • Assist with the processing and filing of purchase orders, invoices, check requests, and expense reports by obtaining proper approvals and submitting to Accounts Payable for payment.

  • Performs duties in compliance with applicable FDA and state regulations as well as standards including, but not limited to, ISO 13485.

Basic Qualifications

  • High school diploma or G.E.D. required

  • 1+ years related experience and/or training

  • Computer savvy with high proficiency in Microsoft Office

  • Strong interest and ability to read and interpret documents such as safety rules, company policy and procedure manuals

  • Proved experience in creating/editing reports, presentations, and correspondence.

  • Associate’s degree
